Start with the decision
Define the next application before marking a stored frame ready. Record venue dimensions, layout, graphic fit, exposure, timing and installation responsibilities. Previous use is helpful history, but it does not approve a different configuration or environment.
Build the record
Collect the exact model, components, manufacturer instructions and current condition record. Note repairs, missing fittings and substitutions. Match the proposed graphic specification to the working interface. Keep the person responsible for compatibility and any competent safety review visible in the project record.
Check before acting
Obtain the required review for the actual layout and use. Resolve critical defects before release; distinguish a scheduling reservation from condition approval. Confirm packing and transport so the equipment can arrive intact. Retain the review scope with its date rather than turning ready status into a permanent guarantee.
Worked example — illustrative
A fictional display frame was previously used against an interior wall. The next campaign proposes a different freestanding layout. The producer identifies the model and asks the responsible supplier about the new configuration. The asset remains retained but unavailable for that layout until fit, components and competent installation questions are resolved.
Keep a useful handover
Record the responsible person, decision date and next review trigger with the evidence version. Keep planned actions distinguishable from confirmed activity. If later information changes the result, preserve the earlier record and update current guidance.
- Write the next-use brief.
- Identify the exact system.
- Record current defects.
- Confirm configuration and fit.
- Approve release with scope.
