Start with the decision

Start with the complete returned item rather than only the base sheet. A receiver needs information about print, coatings, laminate, mounts and contamination. Ask what details are necessary for its actual process and contract.

Build the record

Record exact construction, quantities, print process and relevant finishing identity. Use a representative photograph or sample where requested. Keep information supplied by the fabricator attributable and flag unconfirmed treatments.

Check before acting

Obtain current acceptance conditions and separation instructions. A general paper-design resource can frame questions but cannot accept the load. Reconfirm if the finish changes or the returned condition differs materially from the enquiry.

Worked example — illustrative

A fictional campaign returns heavily printed panels with coated edges. The coordinator includes those details in the enquiry instead of calling them clean board. The receiver requests removal of separate fixings and confirms which stream it will consider. Dispatch waits for a response covering the actual batch.

Keep a useful handover

Record the responsible person, decision date and next review trigger with the evidence version. Keep planned actions distinguishable from confirmed activity. If later information changes the result, preserve the earlier record and update current guidance.
