Start with the decision

Organise parts around confirmed system identities and repair tasks. A box of similar-looking screws can encourage an unsupported substitution. Define who may issue parts and which tasks need manufacturer instructions or competent assessment before work starts.

Build the record

Label bins with part references, compatible models and quantities. Keep current assembly and repair instructions linked to the asset record, with an offline-readable copy where useful. Record replaced parts, supplier confirmations and any new restrictions. Separate consumables from retained parts whose condition needs inspection.

Check before acting

Check missing or obsolete instructions before scheduling a repair. Ask the supplier about approved replacements rather than assuming a generic part is equivalent. Record actual issue and return quantities so future repair planning uses available stock. A completed repair still needs the relevant condition and release review.

Worked example — illustrative

A fictional producer receives several display systems with different connector types. It creates model-labelled bins and keeps the correct instructions with each system. A missing connector is ordered against the confirmed model. The repair record shows what was replaced and who reviewed release, rather than only marking the kit complete.

Keep a useful handover

Record the responsible person, decision date and next review trigger with the evidence version. Keep planned actions distinguishable from confirmed activity. If later information changes the result, preserve the earlier record and update current guidance.
