Define the decision
List the projects already accepted when a participant leaves, including their contracts, versions, customer commitments and relevant permissions. Separate new marketing or new project activity from completion of existing obligations. Record the legal parties and the governing documents rather than assuming that a network relationship explains every customer right.
Build a usable record
For each open project, identify what work remains, who owns the customer relationship and what brand-use wording or assets are involved. Record any written continuity permission, its duration, purpose and limits. Plan custody of customer artwork, evidence records and retained equipment. Agree a contact for questions after the ordinary working relationship ends.
Check the evidence boundary
Do not invent rights from an exit checklist. Permission to finish a specific accepted project is different from an unrestricted continuing licence. Contract interpretation, disputed rights and consequential customer commitments need the authorised parties and appropriate advice. A platform record should reference their actual decision, not replace it with a favourable status.
Worked example — illustrative
In a fictional example, a participant has one display already in production and several unaccepted enquiries. The written exit plan permits a defined handover for the accepted display and sets a deadline for removing general promotional badges. New enquiries are routed separately. The customer receives the current responsible contact and project records.
Put the method into practice
Use the access-review template to plan grants and responsibilities before changing public descriptions or deleting access. Preserve accepted-project evidence and a dated record of the written rights decision. A locally drafted plan is not an executed agreement. Mark unconfirmed permissions as pending and keep the visible status aligned with the actual authorised decision.
