Quote the agreed commitment in its actual scope
Identify the contract, responsible entity, relevant clause or schedule and the service to which the commitment applies. Keep the exact obligation beside your practical delivery plan, with any agreed conditions and review dates. Separate a mandatory promise from an optional aspiration. A general organisational policy or a positive project story is not automatically evidence that a contract-specific requirement was fulfilled.
Describe the activity that could meet the requirement
For an environmental commitment, identify the actual material, reuse, reporting or recovery task and the required evidence. For a social activity, describe the intended participants, agreed need and responsible delivery partners without claiming a relationship that has not been accepted. Specify the necessary people, resources and permissions. Planned attendance, proposed transfers and expected savings remain estimates rather than completed outcomes.
Assign measurement and reporting responsibility
Record who gathers each fact, the unit or observable result, the reporting period and the permitted recipient. Preserve the distinction between a pledge, funded activity, delivery and an evidenced outcome. Keep personal information proportionate to the task and any agreed reporting arrangement. Avoid combining unrelated learning, donation and environmental figures into a single impact score that the contract never defined.
Prepare the plan for the actual contract owner
Use the Social commitment planner or relevant worksheet to organise the scope, owner, resources, checkpoints and evidence needs. Export the plan for the authorised contract team to review against the actual agreement. Update it with delivery records and explicit exceptions rather than silently moving missed targets.
