Start with the decision
Obtain the actual venue requirements from the responsible organiser and identify who approves compliance. Record placement, dimensions, intended period and any suspended, illuminated or structural features. Generic claims about event use are insufficient.
Build the record
Request reports or declarations for the exact fabric, ink, treatment, thickness and mounting where relevant. Keep test method, sample identity, issue date and conditions with the evidence. Ask the supplier to explain applicability to the delivered construction.
Check before acting
Route interpretation and installation questions to the competent responsible people. Preserve limitations and contradictory details. A brochure logo or a mock-up should not be treated as venue approval or as a test of every variant.
Worked example — illustrative
A fictional event requires evidence for a fabric wall. The supplier sends a report for untreated fabric, while the quote includes a coating. The producer records the mismatch and seeks applicable evidence before release. Venue acceptance is recorded separately after the responsible review.
Keep a useful handover
Close the “Request relevant performance evidence for the intended venue” decision with a named owner and a dated evidence version. The next working record is “Check evidence scope”. Record whether that step is planned or confirmed; retain the prior decision if new information changes the instruction.
