Identify the activity covered by each permission
A general licence may allow defined uses across an ongoing relationship, while a project-specific licence may apply only to a campaign, asset, location or period. Read the actual terms rather than relying on the labels. Record the grantor, recipient, subject, allowed activity and limits. A platform account, directory entry or common ownership does not by itself establish permission to use another party's content or mark.
Check the project against the general terms
List the intended channels, artwork, recipients, commercial context and dates. Identify requirements for additional approval, attribution, subcontractors or changed uses in the actual agreement. Where a project permission adds or narrows conditions, preserve the relevant relationship between records instead of overwriting the general licence. Unclear or conflicting terms need review by the responsible parties and suitable advice, not a guessed approval status.
Separate rights from environmental assurance
Permission to use a brand or source does not establish that a material claim is accurate, independently assured or suitable for the application. Keep the claim evidence and responsible review alongside, but distinct from, the rights record. A customer may approve one artwork use without granting later campaigns or third-party redistribution. Preserve expiry, withdrawal and any applicable continuing conditions according to the actual terms.
Prepare a scoped permission register

Download it for the parties responsible for interpreting and granting the actual rights before publication. Retain a suitable copy of the agreement without exposing private terms in a public summary.
