Work through the decision
Identify the immutable artwork version, content hash where available, final dimensions, scale and required provider specifications. Include permitted source assets and the applicable rights record. Attach actual basic results and pending specialist questions. Keep creative, technical and final-release approval classes separate so a comment or one approval cannot release a different file.
A fictional worked example
A fictional designer submits version 4 after a size correction. Earlier comments on version 3 remain in history, but the handover requests review of version 4. The provider receives the scale, fixing requirements and unresolved colour check together.
Evidence and authority limit
Preparing a handover is not provider acceptance, authenticated approval or an instruction to manufacture.
Put it into practice
Build a handover checklist for a revised graphic with one unresolved professional check.
Keep this record: Exact file/version manifest, specifications, rights and named next reviewers.
- The handed-over version is precise.
- Previous approvals are not silently inherited.
- Unresolved checks and permissions accompany the file.
