Work through the decision

Give each physical item its own stable asset ID, even when several items share a manufacturer model. Record owner, make, model, revision, photographs and the original identification source. A provisional identification remains useful if uncertainty is explicit. Keep accessories as linked components rather than silently assuming the kit is complete.

A fictional worked example

A fictional campus has three similar frames. Two carry the same model label; the third has no label. The custodian creates three asset IDs, links the two confirmed models and records the remaining frame as identity pending. All three can enter the inventory without a fabricated model match.

Evidence and authority limit

A photograph or resemblance can suggest identity; it cannot confirm a safe model, load rating or replacement-graphic fit.

Put it into practice

Create three blank asset rows and specify which observation would confirm each model.

Keep this record: An inventory identity record with separate physical IDs, owners, model sources and uncertainty.

  • Every physical item has a unique ID.
  • A shared model does not merge physical assets.
  • Unknown identity has a specific next check.
